Terms and Conditions
These Terms & Conditions apply to all bookings made with Le Petit Chariot. By confirming a booking, you agree to the terms outlined below.
1. Bookings & Payment
All bookings are subject to availability.
Grazing Cart Bookings
- A 50% non‑refundable deposit is required to secure your booking.
- The booking is not confirmed until the deposit has been received.
- The remaining balance is due one week prior to the event date.
- If full payment is not received by the due date, we reserve the right to cancel the booking.
Dry Hire Cart Bookings
- A 50% non‑refundable deposit is required to secure your dry hire booking.
- The booking is not confirmed until the deposit has been received.
- The remaining balance is due one week prior to the event date.
- In addition to the hire fee, a £150 refundable damage deposit is required and must be paid in full prior to collection or delivery of the cart.
- The £150 damage deposit will be refunded within 5 days of the event, subject to safe return and inspection of the cart and all hired items.
- The cart must be returned in the same condition in which it was supplied, allowing for reasonable wear and tear.
- Any damage, missing items, excessive staining or structural issues will result in repair or replacement costs being deducted from the damage deposit.
- If repair or replacement costs exceed £150, the client agrees to pay the outstanding balance within 7 days of notification.
- The cart must not be altered, modified, painted, drilled into or structurally changed in any way.
- The cart must not be used outdoors unless agreed in writing in advance.
- Collection and return times will be agreed at the time of booking and must be adhered to. Late returns may incur additional hire charges.
- The client accepts full responsibility for the cart and any hired equipment for the duration of the hire period.
2. Cancellations & Changes
- Deposits are non‑refundable.
- Changes to guest numbers or details may be made up to two weeks prior to the event (subject to availability and minimum spend requirements).
- We may be able to reschedule your event if notified at least four weeks in advance, however this is not guaranteed and is subject to availability.
- No refunds are available for cancellations.
3. Dietary Requirements & Allergies
It is the client’s responsibility to inform us at least two weeks in advance of the event, of any dietary requirements or allergies.
While we will make every reasonable effort to accommodate dietary needs, all of our products are prepared in environments that handle:
- Celery
- Eggs
- Milk
- Cereals containing gluten (including wheat, rye, barley and oats)
- Lupin
- Mustard
- Peanuts
- Sesame seeds
- Soya
- Sulphur dioxide
- Nuts (including almonds, hazelnuts, walnuts, brazil nuts, cashews, pecans, pistachios and macadamia nuts)
Due to the shared and open nature of grazing displays, we cannot guarantee the absence of allergens.
If no allergy information is disclosed at the time of booking, Le Petit Chariot accepts no liability for any adverse reactions.
4. Food Safety & Responsibility
- All food is transported in temperature‑controlled conditions.
- We recommend that food is consumed within 2–4 hours of set up.
- Food should be kept in a cool environment and out of direct sunlight.
- Once service has commenced, Le Petit Chariot cannot be held responsible for the condition of food left out beyond recommended timeframes.
- We are not responsible for the disposal of food waste following the event.
- Any food remaining after the agreed service period is left at the client’s discretion. Once service has concluded, responsibility for the food transfers to the client.
5. Grazing Cart Hire & Equipment
All carts, boards, props, serving utensils and styling items remain the property of Le Petit Chariot and are provided on a hire basis only.
- A condition check and photographs may be taken at set up.
- Any damage, loss or excessive staining of equipment will be charged at replacement value.
- Wooden serving boards not returned will be charged individually.
- The cart must not be moved, dismantled or altered by anyone other than a Le Petit Chariot team member.
- The cart and serving items must be left in a reasonable condition for collection.
We reserve the right to request additional payment to cover repair or replacement costs if required.
6. Set Up & Collection
- Set up and collection will take place at the agreed time and location.
- We require adequate access and sufficient space for safe set up.
- The client is responsible for ensuring the venue provides a suitable, level and safe area for the grazing cart. Le Petit Chariot reserves the right to refuse set up if the location is deemed unsafe or unsuitable.
- A minimum of 2 hours’ access may be required for larger events.
- Clients must ensure that the venue is ready for set up at the agreed time.
7. Service
- Grazing service is self‑service unless otherwise agreed.
- A member of staff will remain on site during the agreed service window for restocking and presentation.
- Service duration varies by package (Petite, Classique, Grande) as outlined in your booking details.
- Extended service can be arranged in advance for an additional fee.
- Extended service may be arranged during the event, subject to staff availability and additional fees.
8. Travel & Parking
- Travel within 20 miles of Carlisle is included.
- Additional mileage beyond this radius will incur a travel fee.
- Adequate onsite parking must be provided for unloading and collection.
- Any parking fees incurred will be added to the final invoice.
9. Force Majeure
Le Petit Chariot shall not be liable for failure to perform obligations where such failure is due to events beyond reasonable control, including but not limited to extreme weather, venue restrictions, government regulations, or supplier disruption.
10. Marketing & Photography
Unless otherwise requested in writing, Le Petit Chariot reserves the right to photograph event setups and use images for marketing, website and social media purposes.
11. Insurance
Le Petit Chariot holds appropriate public liability insurance and adheres to relevant food hygiene and safety regulations. Certificates available upon request.
12. Limitation of Liability
Le Petit Chariot’s liability for any claim arising in connection with the booking shall not exceed the total amount paid for the services.
